Privacy at a glance
Your information is used to provide the thing you asked for, run the service, and keep a reliable record.
Personal information is not sold. Optional marketing follow-up is only sent where a free-score user actively opts in, and every follow-up includes an unsubscribe link.
Controller and contact
Your Store Ranks is an independent sole-trader Etsy support service based in Nottingham, England. It is the controller responsible for personal information used through this website. The full legal identity and geographic service address are provided in the written service summary and invoice before any paid contract is made.
Privacy questions can be sent to hello@yourstoreranks.com. Service and order support can be sent to support@yourstoreranks.com.
What information is collected
The information collected depends on how the site is used.
- Free Etsy scores: email address, submitted Etsy shop or listing URL, public Etsy data, score output, technical request information, and an optional marketing choice.
- Applications: name, email, Etsy URL, revenue range, selected service, and any shop context or goals supplied in the form.
- Support and chat: name, email, request type, optional Etsy URL, messages, transcripts, support status, and identifiers needed to keep the conversation connected.
- Paid services: agreed scope, correspondence, supplied shop material, invoice and payment records, deliverables, and service history.
- Website operations: cookieless page-view and journey events, landing page, referrer or campaign source, device category, offer-click totals, email delivery events, workflow logs, error details, and IP address or user agent where needed for abuse prevention and free-tool operations.
Etsy shop and listing information may also come from publicly visible Etsy pages or Etsy's API. Please do not submit sensitive personal information that is not needed for an audit, application, or support request.
Public-page measurement uses a one-way daily pseudonymous identifier created server-side from technical request information. The analytics record does not retain the raw IP address, and no analytics cookie or browser-storage identifier is set.
Why information is used
Provide a requested score or reply
Steps requested by you; legitimate interests
Validate the submission, analyse public Etsy information, display the result, answer chat questions, and respond to support.
Review an application and arrange a service
Steps before a contract; contract
Assess fit, recommend the appropriate service, send a written scope and payment link, then deliver the agreed work.
Operate and protect the service
Legitimate interests; legal obligations
Measure page journeys and conversion steps, maintain CRM and operational records, prevent abuse, monitor costs and failures, secure private access, and keep accounting or dispute records where required.
Send optional follow-up
Consent
Send the two-part free-score follow-up only after an unticked opt-in box has been actively selected.
Legitimate interests are used only where the operational need is proportionate and does not override the individual's rights. You may object to processing based on legitimate interests by contacting us.
Free-score email follow-up
A free score is provided whether or not marketing follow-up is selected. The optional checkbox permits practical follow-up about that score and the relevant paid audit. The choice, source, time, and privacy-notice version are recorded so consent can be shown.
Every marketing follow-up contains an unsubscribe link. Unsubscribing stops this nurture sequence but does not stop application confirmations, support replies, payment messages, or other communications specifically requested by you. A minimal suppression record may be retained so the opt-out continues to be respected.
AI-assisted features and human review
- The free Etsy score tools use structured automated analysis and may use OpenAI for parts of the output, including first-image analysis.
- The on-site assistant may use OpenAI to answer general service questions before a human handoff is requested.
- Paid audits are reviewed by a real person and are not delivered as an automated score or generic AI checklist.
- AI-assisted outputs are informational. They are not used to make legal or similarly significant decisions about you.
Service providers and international transfers
Information is shared only where reasonably needed to run the relevant feature.
- Spaceship and related infrastructure providers for website hosting and server operation.
- Resend for transactional and consented follow-up email delivery and delivery-event reporting.
- HubSpot for contact, application, support, consent, and lifecycle records.
- Google Sheets and Google Workspace for structured operational records.
- Chatwoot for human support conversations and OpenAI for enabled AI-assisted features.
- Etsy for public shop and listing information, Stripe for payment links and invoices when a service is accepted, and IP-based country lookup for displaying the configured GBP, EUR, or USD price.
Some providers may process information outside the UK. Where required, transfers are made using recognised safeguards such as UK adequacy regulations, the UK International Data Transfer Agreement, or approved contractual clauses provided by the supplier.
How long information is kept
- IP addresses and user-agent strings in free-review operational logs are cleared after about 90 days.
- Cookieless page-view and pseudonymous journey records are automatically removed after about 12 months.
- Anonymous aggregate offer-click records and image-analysis rate-limit identifiers are removed after about 12 months.
- Resolved or inactive support records are normally removed after about 24 months.
- Unsuccessful or closed application records are reviewed for deletion after about 24 months; customer, invoice, contract, and accounting records may be kept longer where law or dispute handling requires it.
- Marketing consent evidence is kept while consent is active and for an appropriate period afterwards. A minimal suppression record may remain after unsubscribe.
These are default operational periods. A record may be kept longer where needed for an active service, legal claim, fraud prevention, tax requirement, or a request from you.
Your data-protection rights
Depending on the circumstances, you may ask for access, correction, deletion, restriction, portability, or an objection to processing. Where processing is based on consent, consent can be withdrawn at any time without affecting earlier lawful use.
Identity may need to be verified before a request is completed. A response is normally provided within one month, subject to the extensions permitted by data-protection law.
Contact and complaints
Send a privacy request to hello@yourstoreranks.com. If a concern cannot be resolved, you may complain to the UK Information Commissioner's Office at ico.org.uk/make-a-complaint.
